Privacy Policy

TheDuck Platform (“TheDuck,” “the Platform,” “the Service,” “we,” “us,” or “our”) is a service operated by IntelGraph LLC, a New Jersey limited liability company. This Privacy Policy explains how we collect, use, share, and protect personal information in connection with our website at theduckplatform.com (the “Site”) and our platform services (together, the “Service”).

By using the Site or the Service, you agree to the practices described in this Policy.

1. Information We Collect

Information you provide directly.

  • Through our Request Access form: company name, contact name, work email address, phone number (optional), company size, and any message you include.
  • As a platform customer: account and contact details, authentication information, and billing details necessary to provide the Service.
  • Customer Data: the business information you and your authorized users enter into the Platform to operate your business — which may include information about your candidates, employees, clients, requirements, timesheets, and invoicing. This is referred to throughout as “Customer Data.”

Information collected automatically.

  • Standard log and usage data such as IP address, browser type, device information, pages viewed, and timestamps.
  • Cookies and similar technologies, as described in “Cookies & Analytics” below.

Cookies & Analytics

We use cookies, device identifiers, and similar technologies to operate the Site and to understand how it is used. We collect analytics and usage data — such as pages visited, links and buttons clicked, time spent, referring source, and general device and browser information — for the purposes of measuring and understanding traffic, improving and securing the Service, and informing how we grow it.

Some of this activity is carried out using third-party analytics providers, who process this information on our behalf. We use this data to understand patterns in aggregate; we do not use it to sell your personal information.

You can control cookies through your browser settings, and where required we will request your consent or provide an opt-out before placing non-essential cookies. Disabling certain cookies may affect how the Site functions. Depending on your location, you may have additional rights regarding this data, as described in the “Your Choices and Rights” section.

2. How We Use Information

We use personal information to:

  • respond to access requests and communicate with you;
  • provide, operate, maintain, and improve the Service;
  • process transactions and manage billing;
  • secure the Platform, prevent abuse, and troubleshoot;
  • comply with legal obligations.

Customer Data is processed only to provide the Service to you. We do not use Customer Data for our own commercial purposes, to market to your contacts, or to compete with your business. See Section 8.

3. How We Share Information — Service Providers (Sub-processors)

We rely on trusted third-party service providers (“sub-processors”) to operate the Service. They process information only as needed to perform their function for us, and are bound by their own obligations to protect it:

  • Supabase — database, authentication, and data hosting
  • Vercel — application hosting and delivery
  • Stripe — payment processing
  • Intuit / QuickBooks — accounting and invoicing integration
  • Plaid — secure bank-account connectivity
  • Resend — transactional and notification email
  • Anthropic — AI model services that power certain features

Each provider maintains its own privacy and security terms. We do not sell personal information. We may disclose information if required by law, to enforce our agreements, or to protect the rights, safety, and security of our users and the Service.

4. AI Features

Certain features use AI models provided by Anthropic to process content you submit — for example, parsing resumes or documents and assisting with matching. Content processed by these features is sent to our AI provider solely to perform the requested functionand is handled in accordance with that provider’s terms. We do not use this content for unrelated purposes.

5. Data Retention

We retain personal information for as long as needed to provide the Service, fulfill the purposes described in this Policy, comply with legal obligations, resolve disputes, and enforce agreements. Customer Data is retained according to your use of the Service and applicable agreements, and is deleted or returned as described in those agreements upon termination.

6. Data Security

We apply administrative, technical, and organizational safeguards designed to protect personal information, including tenant isolation, encryption in transit and at rest, access controls, and multi-factor authentication. See our Security page for more. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

7. Your Choices and Rights

Depending on your location, you may have rights to access, correct, delete, or restrict the use of your personal information, and to opt out of certain processing. To exercise these rights, contact us at privacy@theduckplatform.com. For Customer Data, requests are generally directed by the customer that controls that data.

8. Customer Data — Our Commitment

Your Customer Data belongs to you. We treat it as confidential and:

  • isolate it to your account;
  • access it only as needed to operate, support, and secure the Service for you;
  • never use it for any other business or to compete with you;
  • never sell it.

Access to Customer Data through the Platform is controlled and logged, and may be made available for your audit on request.

9. Geographic Scope

The Service is intended for businesses and users in the United States. If you access it from elsewhere, you do so at your own initiative and are responsible for compliance with local laws.

10. Children’s Privacy

The Service is not directed to individuals under 18, and we do not knowingly collect personal information from them.

11. Changes to This Policy

We may update this Policy from time to time. We will revise the “Effective date” above and, where appropriate, provide additional notice. Continued use of the Service after changes take effect constitutes acceptance.
